Common Examples:
- Graveyard shift: 11 PM to 7 AM (security, hospitals, factories)
- Late closing: 10 PM to 2 AM (restaurants, bars, entertainment)
- Early morning prep: 2 AM to 10 AM (bakeries, coffee shops)
- 24-hour operations: Any shift spanning midnight (gas stations, hotels)
 
Why They Matter:
- Many businesses operate beyond normal business hours
- Healthcare requires round-the-clock staffing
- Hospitality and entertainment run late into the night
- Manufacturing and warehouses often run 24/7
 
Key Difference:
- Regular shift: 9 AM to 5 PM (same day)
- Overnight shift: 10 PM to 6 AM (crosses midnight)

How to Create Overnight Shifts

Step-by-Step Process:
 
1. Open Create Shift Dialog
- Click "Create Shift" button on schedule calendar
- Or click on any empty calendar cell
 
2. Select the Start Date
- Choose the date when the shift BEGINS
- Example: Thursday, January 23rd for a Thursday night shift
 
3. Set Start Time
- Enter the time the shift starts
- Example: 10:00 PM (22:00)
 
4. Select the End Date
- IMPORTANT: Choose the NEXT DAY for overnight shifts
- Example: Friday, January 24th (next day after start)
 
5. Set End Time
- Enter when the shift ends
- Example: 6:00 AM (06:00)
 
6. Add Title (Optional)
- Label it clearly: "Overnight Security" or "Graveyard Shift"
 
7. Click "Create Shift"
 
Result:
- Shift appears on BOTH days in calendar
- Shows 10 PM - 6 AM spanning Thu night to Fri morning
- Total duration: 8 hours

- Start: Monday, 11:00 PM
- End: Tuesday, 7:00 AM

Common Issues & Solutions

Issue 1: "End time must be after start time" Error
 
Problem: You selected same day for overnight shift
- Example: Start 10 PM, End 6 AM - SAME DAY
 
Solution: Select the NEXT day as end date
- Start: Thursday 10 PM
- End: FRIDAY 6 AM (next day)
 
 
Issue 2: Shift Appears on Wrong Day
 
Problem: You want Thursday night shift but it shows Friday
 
Explanation:
- Overnight shifts display on BOTH days
- Thursday 10 PM shift shows on Thu evening AND Fri morning
- This is correct - it spans both days
 
Solution: This is expected behavior
- Schedule it on the START day (Thursday)
- It will automatically appear on Friday morning too
 
 
Issue 3: Employee Can't See Overnight Shift
 
Problem: Employee only sees one day of two-day shift
 
Solution: Check their calendar view
- Week view: Shows full shift spanning both days
- Day view: Only shows portion in that day
- Tell them to use week or month view for overnight shifts
 
 
Issue 4: "Shift too long" Error
 
Problem: Trying to create 48+ hour shift
- Example: Monday 10 PM to Wednesday 6 AM
 
Solution: Maximum is ~24 hours (2 calendar days)
- Create separate shifts instead
- Monday 10 PM - Tuesday 6 AM (8 hours)
- Tuesday 10 PM - Wednesday 6 AM (8 hours)

1. Use Clear Titles
- "Night Shift" or "Graveyard" is clear
- Avoid ambiguous names like "Late" or "Early"
- Include department: "Night Shift - ER" vs "Night Shift - ICU"
 
2. Be Consistent with Hours
- Same overnight shift hours across the week
- Example: Always 11 PM - 7 AM for night shift
- Makes it easier for employees to plan
 
3. Account for Shift Differentials
- Note if overnight shifts pay extra
- Add to shift notes: "Night differential applies"

How to Add Shift Titles

When Creating a New Shift:
 
1. Click "Create Shift" button

3. In the "Shift Title" field, enter your custom name

Auto-Generated Titles (Fallback)

If you don't provide a custom title, XShift automatically generates one based on start time:

What is Pre-Assignment?

Pre-assignment means assigning employees to a shift at the same time you create it, instead of creating the shift first and then assigning employees separately.
 
Traditional Way (Two Steps):
1. Create shift: "Monday 9 AM - 5 PM"
2. Click shift → Assign employees → Select John, Sarah
 
Pre-Assignment Way (One Step):
1. Create shift: "Monday 9 AM - 5 PM" + Assign John, Sarah
 
Benefits:
- Saves time when you know who should work
- Reduces clicks and steps
- Useful for regular employees with fixed schedules
- Less chance of forgetting to assign someone
- Creates complete schedule in one go
 
When to Use:
- Building schedules from scratch

1. Click "Create Shift" button
 
2. Fill in shift details:

- Start time: 9:00 AM

- Title: "Opening Manager" (optional)
 
3. Scroll down to "Assign Employees" section
 
4. Click "Add Employees" or similar button
 
5. Select employees from list:
- Check boxes next to employee names

Pre-Assignment Best Practices

1. Check Employee Availability
- Before pre-assigning, verify employee is available

2. Consider Required Count
- If shift needs 3 people, pre-assign all 3
- Don't leave it half-assigned
- Complete coverage from the start
 
3. Pre-Assign Regular Employees
- Full-time staff with consistent schedules
- Department leads or supervisors
- Opening/closing employees
 
4. Leave Some Shifts Unassigned
- For auto-assignment or manual assignment later
- For flexible staff who pick up shifts
- When you're not sure who should work yet

Q: Can I pre-assign partial coverage?
A: Yes! Assign 2 of 3 required employees during creation, assign the 3rd later.
 
Q: What if the employee has a conflict?
A: System will show a warning but allow you to create anyway. Check for conflicts first.
 
Q: Can I remove pre-assigned employees later?
A: Yes, click the shift and unassign just like any other assignment.
 
Q: Do pre-assigned employees get notified?
A: Yes, if "Shift Assigned" email notifications are enabled in settings.
 
Q: Can I pre-assign to multiple locations at once?
