How the free shift schedule generator works

1

Say who you have and what your shifts are

Four lines, in your own words. Names optional. Blank lines show what will be assumed.

2

Press Build once

It asks when a paste could mean two things, and lists the assumptions it made under the grid.

3

Get next week's shift schedule

The same engine paying teams use fills the week. Open slots are marked with the reason. Download to Excel, print, or send it to your team.

Free employee schedule generator: questions

Is this employee schedule generator really free?
Yes. One fresh schedule a day, changes to it free, no account, no email, no card. Excel download and print are included. An account only comes in if you want XShift to send the schedule to your team.
Can it make a shift schedule for employees with different availability?
Yes. Put days off, hours they can't work, dated time off, and hour limits right next to each name, or open "Add details per person". It schedules around them, and open slots show a reason.
Can I download the schedule to Excel or print it?
Yes. "Download CSV" downloads a spreadsheet file with the week and everyone's hours, and it opens in Excel, Google Sheets, or Numbers. "Print / save as PDF" prints just the grid, landscape.
Does it handle 12-hour shifts, overnight shifts, and rotating schedules?
Yes for 12-hour and overnight shifts: say "12 hour shifts, 7 to 7" or "5pm to 2am". Long days are split into two shifts unless you say the length. Named rotations like DuPont or 2-2-3 are not built in yet.
What happens to the names I type?
They're kept in a temporary workspace that isn't linked to your email or an account. Workspaces more than 7 days old that weren't saved to XShift are deleted automatically. Before your text is read, it's checked for things like ID numbers and health terms and matching text is removed, but that check isn't complete, and photos and files are read as they are. Leave out anything you don't want read.
What can't the free schedule generator do?
It doesn't know anyone's reliability, it reads English only, it builds one week at a time, one location at a time, and it caps at 20 people. XShift itself has no cap. Rules it recognizes but can't apply are listed under the schedule.
