How the nursing home staffing calculator works

1

Enter your residents and nursing hours

One day, a week or a quarter. Total hours by job, or the number of people on each shift.

2

Pick a target

Your state if it is one we checked (New York, Florida, Illinois, California), your own number, or none for the CMS count alone.

3

Read both counts and the staff per shift

The CMS count, your state's own count, warnings CMS acts on, and how many RNs, LPNs and CNAs each shift needs for the target.

What New York counts

  • Counts certified nurse aide, LPN and RN hours.
  • Leaves out hours spent on administrative services as PBJ defines them, so this calculator leaves out director of nursing hours and RN and LPN admin hours.
  • Since January 1, 2023, aides who are not yet certified (aides in training, medication aides who are not CNAs) no longer count toward the 3.5 or the 2.2, so this calculator leaves out aide-in-training and medication aide hours.
  • Leaves out time spent in training when staff are not available for their primary duties.

The Department of Health checks each quarter, using CMS PBJ data and the daily census, and counts the days that fell below.

  • If some of your medication aides are certified nurse aides, their hours may count; check with the Department.
